Introduction

Rebecca Hannan and IntraConnect are committed to safeguarding your privacy and maintaining the confidentiality of your personal information in accordance with the Privacy Act 1988 (Cth) and relevant state and territory laws. This Privacy Policy outlines the types of information we collect, how we use and store it, and the circumstances in which it may be disclosed.

 

Definitions

“Rebecca Hannan”, “IntraConnect”, “we”, “us” and “our” refer to the partnership of Rebecca Hannan and Gener Lapina trading as IntraConnect.

“You” and “your” refer to any individual whose personal information we collect.

We collect only the personal information that is reasonably necessary to provide psychological services and operate our practice. This may include:

Contact details (e.g. name, email address, phone number)

Demographic information (e.g. date of birth, address)

Social, psychological and medical history relevant to assessment and treatment

Referral information from your GP or other health professionals

Payment details and billing information

Information provided through enquiries, website forms, emails or phone calls

Information is typically collected directly from you during intake, sessions, or correspondence. With your consent, we may also receive information from third parties involved in your care (e.g. your GP, psychiatrist, other health providers).

 

How We Use Your Information

We use personal information for purposes directly related to providing psychological services, including:

Managing new client enquiries, intake and appointment bookings

Providing psychological assessment, formulation, treatment and follow-up

Communicating with you (e.g. appointment reminders, therapeutic resources, invoices)

Liaising with your GP or other health providers where appropriate

Administering billing, rebates and practice management

Maintaining accurate and up-to-date clinical records as required by law and professional standards

We will not use your personal information for any other purpose without your consent, unless required or authorised by law.

 

Information Security and Retention

We take reasonable steps to protect your personal information from misuse, interference, loss, unauthorised access, modification or disclosure. This includes secure electronic record-keeping and appropriate safeguards for any paper files.

We are legally required to retain client records for at least 7 years from the date of last entry. For clients under 18, records are retained until they reach (or would have reached) 25 years of age.

 

No method of electronic transmission or storage is completely secure. We cannot guarantee the security of information transmitted over the internet or stored on systems accessible via the internet. We are also unable to ensure the security of physical copies of information once they have been provided to you (e.g. printed reports or emails in your possession).

 

Sharing and Disclosure of Information

We may disclose your personal information to third parties in the following circumstances:

With your consent, for example when you ask us to share information with your GP, psychiatrist, or other practitioners

To other health professionals directly involved in your care, where appropriate (e.g. sending reports to your GP under a Mental Health Treatment Plan, in accordance with Medicare requirements)

Where we reasonably believe disclosure is necessary to lessen or prevent a serious threat to life, health or safety of any person, or to public health or safety

Where required or authorised by law, such as in response to a court order, subpoena, or mandatory reporting obligation

We may use or share some of your personal information with IntraConnect administrative support staff for scheduling, billing and operational purposes. In line with ethical obligations, we may also disclose information to another psychologist if needed to ensure continuity of care (for example, if your treating psychologist becomes unable to practice due to illness, impairment or death).

We do not sell, rent or trade your personal information to third parties.

 

Accessing and Correcting Your Information

You have the right to request access to the personal information we hold about you, and to request corrections if you believe it is inaccurate, out-of-date, incomplete or misleading.

Requests for access or correction can be made in writing (contact details below). In many cases, access to clinical information is best facilitated through an appointment with your treating psychologist to discuss the material in context. In some circumstances, and subject to legal and ethical obligations, we may provide copies, a summary, or explanation of the record. A reasonable fee may be charged for time spent responding to complex requests.

We may refuse access in limited circumstances permitted by the Privacy Act (for example, if access would pose a serious threat to the life or health of any individual, unreasonably impact the privacy of others, or be unlawful). If we refuse your request, we will provide a written explanation and outline your options to take the matter further.

Website Privacy and Analytics

Our website is hosted by Wix and may use third-party services such as Google Analytics to collect non-identifying information about how the site is used (e.g. pages visited, time spent on the site, browser type). This information helps us understand general usage patterns and improve the website.

Google Analytics does not identify individual users. By using our website, you consent to data being processed in accordance with Google’s Privacy Policy. You can opt out of Google Analytics by using a browser add-on or adjusting your settings.

Our website may contain links to external websites that are not operated by us. We are not responsible for the privacy practices of those websites and encourage you to review their policies.

 

Cookies

A “cookie” is a small data file stored on your device that allows a web server to recognise your browser.

When you visit our website, we may send a temporary or “session cookie” to your browser, which assigns a unique identification number for the duration of your visit.

Cookies do not personally identify you. They may record your browser type, IP address, and the domain of your internet service provider.

Session cookies expire shortly after you close your browser and are no longer usable.

Data Breach Notification

If we become aware of unauthorised access to, unauthorised disclosure of, or loss of personal information that is likely to result in serious harm, we will investigate and respond in accordance with the Notifiable Data Breaches scheme under the Privacy Act. Where required, we will notify affected individuals and the Office of the Australian Information Commissioner.

 

Policy Updates

We may update this Privacy Policy from time to time to reflect changes in law, technology or practice processes. The most current version will always be available on our website.
